  1. Make the Stage the Heart of the Party

If you’ve got live entertainment (and you definitely should), try to make sure they have a proper ‘stage’. Either a raised platform — at least 30cm high — makes a world of difference (and it makes all the photos look cooler !) It keeps the entertainment visible and makes the performance feel larger than life. It gives it a more special feel. Plus, everyone at the back of the dancefloor will still feel connected to the action. Now…a stage isn’t essential for this to happen but it does make a difference if possible.  

  1. Get the Lighting Right

Lighting sets the mood, so don’t skimp on it. Aim for at least 2-6 moving lights around the stage and dancefloor to create that electric party vibe. Room lighting matters too — you don’t want it too bright or too dark. And don’t forget to light the band! Seeing the performers makes the experience more engaging and gives your photographer some great shots.  Even your phone photos will look better in good light.  

  1. Place the Bar Near the Dancefloor (ish)

Nothing kills a party vibe faster than splitting the crowd. If the bar’s in another room — or even just too far from the dancefloor — you’ll lose energy. Keep the drinks and the dancing close together so the party stays buzzing. However, don’t have the bar too close or the noise from the bar can interrupt the entertainment. Its all about finding a balance. 

  1. Plan the Timings Smartly

Live music works best in short, punchy sets. Stick to sets between 45 minutes and 1.5 hours to keep the band fresh and the dancefloor full. And when it comes to speeches, keep them short and sweet — Also if its at a wedding ALWAYS do them after the food. The main reason is that the person ‘might be nervous or worried and you want them to enjoy their meal’. Well….you’ve probably paid ££££’s on the food, your caterer has cooked it perfectly and now that the best man has ran over by 20 its sat there getting cold. Also the later the speeches are the more drunk your guests are….They will laugh and the whole experience is upgraded. 

  1. Watch Out for Sound Limits

Venues with decibel limits under 92dB can really put a damper on the energy. A great band (like Funk City Band!) will have experience and professional sound engineers to work with restrictions, but if you have a choice, go for a venue without sound limits. (Sometimes 100 people clapping can set one off. You don’t want to limit the fun) Nowadays it is possible to bring different equipment that fits inside sound limitations but it is better without doing this, if possible. This is a great tip for a party.

A happy team makes for a smooth event. Make sure your suppliers — including your band, caterers, and tech crew — have a comfortable space to rest, a good meal, and some drinks. Trust us, a well-looked-after crew brings their A-game. Staff normally DON’T require a 3-course meal but considering how far some have travelled and how long the day is a hot meal goes a long way. 

7. Know that…it probably won’t run to time! 

A party will naturally keep flowing. Some things just take longer than you thought. In over 600+ weddings maybe 3 have ran on time. Try to keep everyone on schedule, and TRY make sure the night runs smoothly — but know that it probably won’t run to time. Try to add ‘buffering time’ to catch up with any gaps and actively plan a section where NOTHING happens so you can just ‘be’ with your friends and family. 

8. Trust Your Suppliers’ Expertise

You’ve chosen your suppliers for a reason — they know what they’re doing. Whether it’s your caterer, planner, or live band, trust their advice and let them help you create an incredible night. they have done this before. They can probably add some words of advice for a great party. 

9. Be Open-Minded with the Playlist

Your favourite car karaoke song might not be the best dancefloor hit. A great band knows how to balance your personal tastes with crowd-pleasing anthems that get everyone moving. Trust their setlist suggestions for maximum party impact. You may not please everyone. Also, really focus on what you like.  Focus on you!
